AI Automation vs. RPA: What's Actually Different for Small Business
RPA (robotic process automation) and AI-driven automation get lumped together constantly, and that's caused a lot of small business owners to write off automation entirely after a bad RPA experience. AI agents are built to handle exactly the variation that breaks RPA. Instead of following a rigid script, an AI agent reads the actual content — an invoice, an email, a form — and understands what it means well enough to act correctly even when the format isn't identical to last time. It's the difference between a system that requires a perfectly clean, unchanging process, and one that can absorb the messiness that real businesses actually run on.
So which one is right for an SMB?
For most small and mid-sized businesses, the honest answer is: you probably don't need RPA at all. RPA earns its cost at large enterprises with massive volumes of a genuinely identical task — think call centers, high-volume claims processing. An SMB rarely has that kind of scale or that kind of process rigidity. What an SMB actually has is a handful of messy, variable, manual workflows — exactly the situation AI agents are built for, and exactly the situation where RPA tends to fail.
If someone's pitching you RPA for your back office and your processes aren't rigidly standardized, ask how it handles exceptions before you sign anything. If the answer is "a person checks it," you haven't actually removed the manual work — you've just added a layer on top of it.
