How Much Does AI Automation Cost for a Small Business?
This is usually the first question, and it's a reasonable one to ask before anything else. The honest answer is that "AI automation" isn't one product with one price — it's a category, the same way "marketing" or "software" is a category. What it costs depends entirely on what you're actually automating. That said, there are real factors that determine where you'll land, and a few things worth knowing before you take a quote at face value.
What actually drives the cost
- Number of workflows. Automating one process (say, invoice entry) costs less than automating four (invoicing, scheduling, lead intake, and reporting). Most providers price per workflow or per bundle, not as a flat company-wide fee.
- Integration complexity. Connecting to a modern, well-documented tool (QuickBooks Online, a standard CRM) is faster and cheaper than connecting to a legacy system with no clean API, or a process that's currently entirely on paper.
- Volume and variability. A workflow that handles five formats of incoming documents needs more setup than one that handles a single consistent format — more edge cases to test before it's reliable.
- Ongoing maintenance vs. one-time build. Some providers charge a build fee and hand it off; others run it on an ongoing retainer that includes monitoring and fixes when a connected tool changes its interface. These are structured very differently, so compare like for like.
A reference point, not a universal price

Questions that tell you whether a quote is fair
- Is this price for one workflow, or does it cover everything we discussed?
- What happens if the connected software updates and something breaks — is that included?
- Is there a setup fee separate from an ongoing fee, and what does each actually cover?
- What's the expected timeline, and what happens to the price if it runs long?
A provider who can answer all four clearly, specific to your workflow, is quoting you a real scope. A provider who gives you one number for "AI automation" without asking what you actually need automated hasn't scoped anything yet — they're guessing, and so are you.
The real math to run
The number that actually matters isn't the sticker price — it's the sticker price against what the manual work is currently costing you in hours and mistakes. A $1,000/mo deployment that eliminates $9,000/mo of wasted labor is a very different decision than the same price against $1,500/mo of waste.
